How to Configure Email on iPhone/iPad
This guide explains how to set up your {{COMPANY_NAME}} email account on your iPhone or iPad using the built-in iOS Mail app.
Before You Begin
Have the following ready:
- Your full email address (e.g., [email protected])
- Your email password
- Mail server: mail.yourdomain.com
Step-by-Step Setup (iOS 15 and Later)
Step 1: Open Mail Settings
- Open the Settings app on your iPhone/iPad.
- Scroll down and tap Mail.
- Tap Accounts.
- Tap Add Account.
Step 2: Choose Account Type
- Tap Other (do not select Google, Yahoo, or iCloud).
- Tap Add Mail Account.
Step 3: Enter Account Details
- Name: Your display name (e.g., "John Smith")
- Email: Your full email address (e.g., [email protected])
- Password: Your email password
- Description: A label for this account (e.g., "Work Email")
- Tap Next.
Step 4: Select IMAP
- At the top of the screen, tap IMAP (recommended over POP).
Step 5: Enter Server Settings
Incoming Mail Server:
- Host Name: mail.yourdomain.com
- User Name: Your full email address
- Password: Your email password
Outgoing Mail Server:
- Host Name: mail.yourdomain.com
- User Name: Your full email address
- Password: Your email password
- Tap Next.
Step 6: Verify and Save
- iOS will verify the settings. This may take 30-60 seconds.
- If verification succeeds, tap Save.
- Your email account is now configured and will appear in the Mail app.
Tip: If verification fails on the first attempt, tap Save anyway -- iOS sometimes shows a false error but the account works correctly.
Adjusting SSL and Port Settings
If the automatic verification fails, you may need to manually set ports:
- Go to Settings > Mail > Accounts and tap your new account.
- Tap your account name at the top.
- Under Incoming Mail Server, tap Advanced:
- Use SSL: ON
- Server Port: 993
- Go back and under Outgoing Mail Server, tap SMTP > tap your server:
- Use SSL: ON
- Server Port: 465
- Authentication: Password
- Tap Done.
Setting Fetch Schedule
To control how often your iPhone checks for new email:
- Go to Settings > Mail > Accounts > Fetch New Data.
- Enable Push if available, or set a fetch schedule:
- Every 15 minutes -- Good balance of battery and timeliness
- Every 30 minutes -- Better battery life
- Manually -- Only checks when you open Mail
Troubleshooting
"Cannot Verify Server Identity" warning:
This appears when the SSL certificate does not match the hostname. Tap Continue to proceed, or use the exact server hostname from your welcome email.
"Cannot Get Mail" error:
- Verify your password is correct
- Check that your mailbox is not over quota
- Try toggling Airplane Mode on and off
- Delete the account and re-add it
Outgoing mail fails but incoming works:
- Go to the SMTP settings and ensure authentication is enabled
- Try changing the outgoing port to 587 with STARTTLS
Email notifications not appearing:
- Go to Settings > Notifications > Mail and ensure notifications are enabled
- Check that the Fetch schedule is not set to Manual
