Incoming/Outgoing Mail Server Settings

This article provides the complete mail server settings you need to configure any email client (Outlook, Thunderbird, Apple Mail, mobile apps, etc.) with your {{COMPANY_NAME}} email account.

Your Mail Server Hostname

Your mail server hostname is typically:

mail.yourdomain.com

Replace "yourdomain.com" with your actual domain name. This hostname is used for both incoming and outgoing mail.

Tip: You can find your exact server hostname in the welcome email sent when your hosting account was activated, or in your control panel under Email settings.

Quick Reference Card

For easy reference, here are the most commonly used secure settings:

IMAP + SMTP (Recommended):

  • Incoming: mail.yourdomain.com, Port 993, SSL/TLS
  • Outgoing: mail.yourdomain.com, Port 465, SSL/TLS
  • Username: your full email address
  • Password: your email password

POP3 + SMTP:

  • Incoming: mail.yourdomain.com, Port 995, SSL/TLS
  • Outgoing: mail.yourdomain.com, Port 465, SSL/TLS

Important Notes

Always Use SSL/TLS

We strongly recommend using SSL/TLS encrypted connections. Non-SSL ports (143, 110, 25) send your credentials and email content in plain text, which is a security concern.

Username Is Your Full Email Address

The username for authentication is always your complete email address (e.g., [email protected]), not just the part before the @ symbol.

SMTP Authentication Is Required

Outgoing mail (SMTP) requires authentication. In your email client, make sure "My outgoing server requires authentication" is enabled, using the same username and password as your incoming server.

Port 25 May Be Blocked

Many ISPs and networks block port 25 to prevent spam. If you cannot send email on port 25, use port 465 (SSL/TLS) or port 587 (STARTTLS) instead.

SPA (Secure Password Authentication)

If your email client asks about SPA or NTLM authentication, leave it disabled/unchecked. Our servers use standard password authentication.

Finding Your Settings in cPanel

  1. Log in to cPanel.
  2. Go to Email Accounts.
  3. Click Connect Devices next to your email account.
  4. cPanel will display the exact server settings for your account, including auto-configuration options.

Finding Your Settings in DirectAdmin

  1. Log in to DirectAdmin.
  2. Go to E-Mail Accounts.
  3. Click on your email account.
  4. The server settings will be displayed on the account details page.

Troubleshooting Connection Issues

Cannot connect on any port:

  • Verify the server hostname is correct
  • Check that your domain's DNS is pointing to the correct server
  • Test if your network/firewall is blocking the ports

SSL certificate errors:

  • Ensure you are using the correct hostname (mail.yourdomain.com)
  • If your domain does not have its own SSL, use the server's shared hostname from your welcome email

Authentication fails with correct password:

  • Reset the password in your control panel
  • Ensure you are using the full email address as username
  • Check that the account is not suspended or over quota
