Roundcube Webmail Features Guide

Roundcube is a full-featured webmail client included with your {{COMPANY_NAME}} email hosting. This guide covers the key features to help you make the most of your webmail experience.

Composing and Sending Email

Writing a New Email

  1. Click the Compose button (or press N).
  2. Enter the recipient's email address in the To field.
  3. Optionally add Cc (carbon copy) or Bcc (blind carbon copy) recipients.
  4. Enter a Subject line.
  5. Write your message in the body area.
  6. Click Send (or press Ctrl+Enter).

Formatting Options

Roundcube supports both plain text and HTML email composition:

  • HTML mode: Use the toolbar to format text (bold, italic, links, lists, colors, etc.)
  • Plain text mode: Simple text without formatting
  • Switch between modes using the editor type selector in the compose toolbar.

Attachments

  1. Click the Attach button (paperclip icon) in the compose window.
  2. Select one or more files from your computer.
  3. Wait for the upload to complete before sending.
  4. Maximum attachment size depends on your server configuration (typically 25-50 MB).

Tip: For large files, consider using a file sharing service and including the download link in your email instead of attaching the file.

Managing Folders

Default Folders

  • Inbox -- All incoming messages
  • Drafts -- Saved unsent messages
  • Sent -- Copies of sent messages
  • Junk -- Spam-filtered messages (check periodically for false positives)
  • Trash -- Deleted messages (auto-purged after a set period)

Creating Custom Folders

  1. Go to Settings > Folders.
  2. Click the Create button (+ icon).
  3. Enter a folder name.
  4. Select a parent folder (or leave at root level).
  5. Click Save.

Organizing with Drag and Drop

You can drag messages from the message list and drop them onto any folder in the sidebar to move them.

Contacts (Address Book)

Adding a Contact

  1. Click Contacts in the top navigation.
  2. Click the Create button (+).
  3. Fill in the contact details (name, email, phone, etc.).
  4. Click Save.

Importing Contacts

  1. Go to Contacts.
  2. Click the Import button.
  3. Select a vCard (.vcf) or CSV file.
  4. Choose the target address book.
  5. Click Import.

Auto-Complete

Roundcube automatically suggests contacts from your address book when you type in the To, Cc, or Bcc fields. It also suggests addresses from previously sent emails.

Email Filters

Filters automatically organize incoming email based on rules you define.

Creating a Filter

  1. Go to Settings > Filters.
  2. Click the Create button (+).
  3. Enter a filter name.
  4. Define conditions (e.g., "From contains newsletter").
  5. Define actions (e.g., "Move to folder Newsletters").
  6. Click Save.

Common Filter Examples

  • Move emails from a specific sender to a dedicated folder
  • Automatically mark emails with certain subjects as read
  • Forward emails matching a pattern to another address
  • Delete emails from known spam sources

Identity Management

Identities define the "From" address and display name used when sending email.

Managing Identities

  1. Go to Settings > Identities.
  2. Click your existing identity to edit it, or click Create to add a new one.
  3. Set the Display Name, Email Address, Organization, and Signature.
  4. Click Save.

If you have multiple email aliases, you can create an identity for each one and choose which to send from when composing.

Use the search bar at the top of the message list to find emails:

  • Type a keyword and press Enter to search the current folder
  • Click the dropdown arrow next to the search bar to search in specific fields (From, To, Subject, Body)
  • Use All folders option to search across your entire mailbox

Settings and Preferences

Key settings to customize your experience:

  • Settings > Preferences > Mailbox View -- Choose message list layout, preview pane position
  • Settings > Preferences > Composing Messages -- Set default font, reply behavior, and compose mode
  • Settings > Preferences > Displaying Messages -- Control how HTML emails are displayed
  • Settings > Preferences > Special Folders -- Map Drafts, Sent, Junk, and Trash folders
