How to Set Up Billing for Your Reseller Business

Running a reseller hosting business means you need to bill your clients for the services you provide. This guide explains billing options and how to set up a professional billing workflow.

Understanding the Billing Flow

There are two separate billing relationships:

  2. You to Your Clients — You charge your clients at your own prices

Billing Options

Option 1: Manual Billing (Small Scale)

For a few clients, manage billing manually with accounting software and spreadsheets. Pros: No additional software costs. Cons: Time-consuming, error-prone, does not scale.

Setting Up WHMCS

Step 1: Install WHMCS

Install on your reseller cPanel account (simplest) or a separate VPS (recommended for larger operations).

Step 2: Configure Your Server

In WHMCS, go to Configuration > Servers > Add New Server. Enter your server hostname, WHM username, and API token (generated from WHM > Development > Manage API Tokens). Set type to cPanel/WHM and test the connection.

Step 3: Create Products

Create hosting products in WHMCS that map to your WHM packages. Set pricing (monthly, annual, etc.) and link each product to the corresponding WHM package under Module Settings.

Step 4: Set Up Payment Gateways

Configure Razorpay (UPI, cards, net banking for India), PayPal (international), or Bank Transfer (manual verification) under Payment Gateways.

Step 5: Configure Automation

Set WHMCS to automatically create accounts on payment, send invoice reminders, suspend after X days overdue, and terminate after Y days.

Pricing Your Services

Consider your cost per account, market rates, desired margins (30-50%), and value-adds. Example: if your reseller plan costs Rs 2,000/month supporting 25 accounts (Rs 80/account), sell Basic at Rs 199, Business at Rs 399, Premium at Rs 699.

GST Compliance (India)

Ensure invoices include GST registration number, correct GST rate (18%), HSN/SAC code for IT services, and proper invoice numbering. WHMCS supports GST invoicing natively.
