How to Renew Your Services
Renewing your services on time is essential to ensure uninterrupted access to your hosting, domains, SSL certificates, and other products at {{COMPANY_NAME}}. This guide explains the renewal process, payment methods, and tips for staying on top of upcoming renewals.
How Renewals Work
When a service approaches its renewal date, the system generates a renewal invoice (prefixed with INV-). Here is the typical renewal timeline:
- 14 days before due date — A renewal invoice is generated and emailed to you
- 7 days before due date — A reminder email is sent if the invoice is still unpaid
- Due date — The invoice becomes overdue if not paid
- Grace period — Services remain active for a short grace period (varies by product) after the due date
- Suspension — If payment is not received during the grace period, the service is suspended
- Termination — After an extended period without payment, the service may be permanently terminated
Tip: Pay your renewal invoices early to avoid any interruption. We recommend enabling auto-renewal and keeping a payment method ready.
How to Renew a Service Manually
Step 1: Find the Renewal Invoice
- Log in to the Client Portal at {{SUPPORT_URL}}/client
- Navigate to Invoices in the main menu
- Look for invoices with Unpaid status — renewal invoices will be listed here
- Alternatively, check the Dashboard for a "Pending Invoices" notification
Step 2: Review the Invoice
- Click on the invoice number to open it
- Verify the following details:
- Service name — Confirm which service is being renewed
- Billing period — The renewal period (e.g., 1 year, 1 month)
- Amount — The renewal price including applicable GST
- Due date — When payment is expected
Step 3: Make Payment
- Click Pay Now on the invoice page
- You will be redirected to the payment gateway (Razorpay)
- Choose your preferred payment method:
- UPI — Google Pay, PhonePe, Paytm, or any UPI app
- Net Banking — Select your bank from the list
- Credit/Debit Card — Enter your card details
- Wallet — Paytm, Mobikwik, etc.
- Complete the payment
- You will be redirected back to the Client Portal with a payment confirmation
Tip: After payment, the invoice status changes to Paid and the services next due date is automatically extended.
Renewing from the Services Page
You can also initiate renewal directly from the service detail page:
- Go to Services in the main menu
- Click on the service you want to renew
- If a renewal invoice exists, you will see a Renew or Pay Invoice button
- Click it to proceed to payment
Understanding Invoice Types
| Prefix | Type | Description |
|---|---|---|
| PI- | Proforma Invoice | Generated during checkout before payment (new orders) |
| INV- | Tax Invoice | Generated after payment confirmation or for renewals |
Tip: Renewal invoices always use the INV- prefix and appear in your Invoices section automatically.
Renewing Multiple Services at Once
If you have several services up for renewal:
- Go to the Invoices page
- Look for all unpaid renewal invoices
- You will need to pay each invoice individually through the payment gateway
- Consider enabling auto-renewal for all services to avoid managing individual invoices
What Happens If You Do Not Renew?
| Time After Due Date | What Happens |
|---|---|
| 1-3 days | Reminder emails sent; service remains active |
| 3-7 days | Final warning emails; service may be suspended |
| 7-14 days | Service is suspended (website, email stop working) |
| 30+ days | Service may be terminated and data deleted |
Tip: If your service is suspended due to non-payment, simply pay the outstanding invoice to have it reactivated. Reactivation is automatic within 15 minutes of payment for most services.
Tips for Managing Renewals
- Enable auto-renewal for all services you want to keep
- Keep your email updated so you receive renewal reminders
- Check the Dashboard regularly for pending invoices
- Pay early — You do not lose any time; the renewal period is added to your existing expiry date
- Set calendar reminders for important services like domains and SSL certificates
Troubleshooting
- Cannot find the renewal invoice? Check the Invoices section and filter by Unpaid. If no invoice exists yet, it may be generated closer to the due date.
- Payment failed? Try a different payment method. If using UPI, ensure you have sufficient balance. If the issue persists, contact your bank.
- Service not reactivated after payment? Reactivation is usually automatic within 15 minutes. If it takes longer, contact support with your invoice number.
- Renewal price different from original purchase? Renewal prices may differ from promotional or first-year pricing. The invoice shows the current renewal rate.
